This Privacy Policy describes how we collect, use, share, and safeguard information when you visit simatra.io (the marketing website), use related booking or newsletter features, or use the Simatra cloud platform at app.simatra.io (the “Platform”).
By using our website or Platform, you acknowledge this policy. If you do not agree, please do not use our services.
1. Information We Collect
1.1 Information you provide
- Account information (Platform): name, email address, institutional affiliation, organization details, and billing information when you create or manage an account.
- Newsletter / marketing: name and email address when you subscribe via our website form, plus your marketing consent where required.
- Demo / contact booking: name, email, and any details you enter when scheduling a call or demo (including through our embedded scheduling tool).
- Communications: content of messages you send us by email or other channels you choose.
- Simulation inputs (Platform): atomic structures, calculation parameters, job configuration, and related research data you submit for processing.
1.2 Information collected automatically
- Usage and device data: IP address, browser type, device type, pages visited, referring URL, approximate location derived from IP, and timestamps.
- Cookies and similar technologies: see Section 4 (Cookies and consent).
2. How We Use Your Information
We use personal data to:
- Provide, operate, and improve the website and Platform.
- Create and manage accounts, process jobs, and provide support.
- Schedule and run demos or sales/onboarding calls you request.
- Send service-related notices (e.g. security, account, or operational emails).
- Send marketing emails only where you have consented (or where otherwise permitted by law), with an unsubscribe option in every marketing message.
- Analyze website traffic and product usage (with analytics cookies only after consent, where required).
- Comply with legal obligations and protect our rights, users, and infrastructure.
3. Third-Party Services / Sub-processors
We use trusted service providers to operate the website and Platform. They process data only as needed to provide their services to us.

3.1 Computational processing (Platform)
Simulation inputs you submit are processed using the DFT engine you select — Quantum ESPRESSO or KRONOS, both open-source software — running on infrastructure we operate for Simatra. Those engines do not transmit your simulation data to unrelated third parties as part of the compute path.
3.2 Cal.com
When you book a demo, the scheduling interface is provided by Cal.com. Information you enter in the booking flow is processed by Cal.com in accordance with their terms and privacy policy. We receive booking details so we can attend the meeting and follow up as appropriate.

3.3 Google Analytics
We use Google Analytics to understand how visitors use simatra.io. Analytics cookies are set only after you accept analytics via our cookie banner (see Section 4). We configure analytics with IP anonymization where supported. Google’s use of data is described at https://policies.google.com/technologies/partner-sites.
3.4 Email delivery
We send newsletters and related marketing or service emails using infrastructure we operate for list management, with Resend as the email delivery provider. That means your name and email (and related delivery metadata) may be processed by Resend to send messages on our behalf. We do not sell your contact information. You can unsubscribe from marketing emails at any time via the link in those messages.

4. Cookies and Consent
We use:
- Essential cookies / local storage — required for basic site function (for example theme preference, or remembering your cookie choice). These do not require marketing consent.
- Analytics cookies — Google Analytics, used only if you click Accept analytics on our cookie banner. If you Reject, we do not load Google Analytics for that browser (until you change your choice by clearing site data or contacting us).
Your choice is stored locally in your browser (e.g. simatra_cookie_consent). Clearing site data may show the banner again.
5. Data Security and Isolation
Research and account data are sensitive. We apply industry-standard security measures and logical isolation practices intended to protect against unauthorized access, alteration, or disclosure. No method of transmission or storage is 100% secure; we cannot guarantee absolute security.
6. Data Sharing and Disclosure
We do not sell or rent your personal information. We may share data:
- With sub-processors listed in Section 3, under appropriate arrangements.
- When required by law, regulation, legal process, or governmental request.
- To protect the rights, property, or safety of the Company, our users, or the public.
- In connection with a merger, acquisition, or asset sale, subject to appropriate safeguards.
7. International Transfers
We and our providers may process data in India and other countries. Where required, we take steps to ensure appropriate protections for cross-border transfers.

We retain personal data only as long as needed for the purposes described above, including legal, accounting, or reporting requirements. Booking and marketing records are kept while relevant to an ongoing relationship or as required by law; you may request deletion as described below.
